Job Description

Job Description:

Wine Club Manager

We are a boutique, estate-driven winery located in southern Napa Valley, producing limited quantities of ultra-premium wines sold exclusively direct-to-consumer. Our business is built on relationships - creating intimate, high-touch experiences that turn guests into lifelong members.
Our wine club is the heart of our brand, representing the majority of our revenue and serving as the primary connection point between our wines and our community. We focus on delivering elevated, memorable experiences - from personalized hospitality to curated events - that deepen loyalty and drive long-term engagement.

We are seeking a highly organized, customer-focused, and sales-driven Wine Club Manager to lead the strategy, operations, and growth of our wine club program. This is a hybrid role combining wine club leadership, event execution, and digital marketing performance, requiring both operational precision and revenue-driven thinking.

The ideal candidate is detail-oriented, proactive, and passionate about hospitality, wine, and relationship-building. This person will play a key role in growing club membership, strengthening member loyalty, and ensuring a consistent, high-end experience across every touchpoint.

Key Responsibilities

Lead the overall strategy and execution of the wine club program, with a focus on membership growth, retention, and member satisfaction.

Own key performance metrics including membership growth, retention, event conversion, and lifetime value of members.

Develop and implement initiatives to increase wine club sign-ups through tasting room interactions, events, digital channels, and other direct-to-consumer opportunities.

Plan, organize, and execute winery events, including wine club pickup parties, member-exclusive experiences, and special events, ensuring seamless logistics and elevated guest experiences.

Develop event strategies that support acquisition, retention, and revenue growth.

Create and manage seasonal wine club releases, including wine selections, timelines, member communications, and promotional materials.

Build strong member relationships through consistent communication, personalized service, and elevated VIP experiences.

Respond promptly and professionally to member inquiries regarding billing, shipments, account updates, club benefits, and pickups.

Oversee the setup, billing, processing, and maintenance of club orders within CRM and POS systems such as Commerce7.

Coordinate with fulfillment, production, and shipping teams to ensure accurate and timely order processing and delivery.

Maintain accurate member records, preferences, and account details.

Track and report on wine club performance, including sign-ups, cancellations, churn, retention, order success, and engagement metrics.

Train tasting room staff on wine club benefits, sales techniques, and best practices for converting guests into members.

Collaborate with marketing to promote club benefits, releases, and events through email, SMS, social media, and website channels.

Monitor inventory allocations for club releases and recommend adjustments as needed.

Ensure compliance with shipping regulations, privacy standards, and operational requirements.

Qualifications

4 plus years of experience in wine club management, customer loyalty programs, DTC sales, hospitality, or a related field.

Strong written and verbal communication skills.

A customer-first mindset with excellent interpersonal, service, and problem-solving abilities.

Experience with CRM and POS platforms such as Commerce7, WineDirect, or similar systems.

Experience planning and executing events, preferably in a winery or hospitality setting.

Familiarity with digital marketing tools and strategies, including email and SMS marketing, social media management, and CRM-driven campaigns.

Experience with platforms such as GoHighLevel, Klaviyo, or similar systems is a strong plus.

Experience with winery technology platforms such as Commerce7, Wineshipping, Tock, or similar systems is preferred.

Highly organized with strong attention to detail and the ability to manage multiple deadlines and priorities.

Polished, professional presence with the ability to represent a premium brand.

Comfortable working evenings and weekends during club release periods, events, and pickup weekends.

Typical schedule is Tuesday through Saturday, with flexibility required for events, releases, and peak periods.

Passion for wine, hospitality, and creating memorable experiences.

Wine knowledge or certification such as WSET or CSW is preferred, but not required.

Working Conditions

Work is performed in both office and winery environments. This role includes time at a desk as well as active participation in events, hospitality, and on-site operations

Physical Requirements

This role requires the ability to perform essential job functions in both office and event environments.

Ability to stand and walk for extended periods during events and pickup weekends

Ability to lift and carry up to 50 pounds on an occasional basis

Ability to bend, reach, stoop, and assist with event setup and breakdown

Ability to work indoors and outdoors in varying weather conditions

Ability to use a computer and standard office equipment for extended periods

Reasonable accommodations may be made to enable individuals with disabilities to perform the essential functions of the role.

Compensation

Base salary of $90,000, plus performance-based bonuses tied to wine club growth, retention, and event-driven revenue.
Total compensation is designed to reward a high-performing candidate who can drive measurable increases in membership, engagement, and overall program performance.
