We're looking for an Office Coordinator to be the heartbeat of our Fresno office. As our Office Coordinator, you'll be the go-to resource for day-to-day office operations — from managing vendors and facilities to supporting leadership and welcoming guests. Qualifications:

  • Proven experience (generally three years) in office assistant role
  • Excellent listening skills and strong communication skills
  • Ability to accurately follow instructions.
  • Ability to work with sensitive and confidential information
  • Intermediate Proficiency in Microsoft Suite including Word and Outlook
  • Strong attention to detail, analytical skills, and problem-solving abilities.
  • Excellent organizational and time management skills and the ability to prioritize tasks to meet deadlines.
  • Ability to work independently with minimal supervision and manage multiple projects simultaneously.

Preferred Qualifications:

  • Associate’s degree in Business Administration, or related field

Description of Duties:

  • Oversee daily office operations to ensure a clean, organized, and efficient work environment
  • Manage office supplies, equipment, inventory, and postage
  • Organize mail, shipping, and deliveries
  • Manage conference rooms, shared spaces, and kitchen areas
  • Maintain office calendars (conference rooms, kitchen, shared resources)
  • Answer phones and manage the office phone system
  • Greet and assist guests and visitors
  • Manage signage in the office
  • Assist with scheduling and coordinating company meetings, training sessions, and events
  • Coordinate department meetings and all-hands meetings
  • Assist leadership with calendar coordination and travel arrangements, as needed
  • Provide clerical and administrative support to leadership members as requested
  • Coordinate with vendors (cleaning, utilities, printers, phones, alarm systems, etc.)
  • Assist with office layout adjustments, workspace setup, and minor office moves
  • Coordinate maintenance and repair requests with the property management company
  • Serve as the primary point of contact for building-related issues, coordinating with property management on behalf of company staff and tenants
  • Assist with managing office security systems (alarm, access control, etc.)
  • Maintain general office appearance, cleanliness, and organization
  • Coordinate kitchen supplies, food, and catering for meetings and events
  • Support company events, lunches, and celebrations
  • Perform routine upkeep tasks (e.g., air filters, tidiness, restocking)
  • Provide day-to-day coordination and support for Office Assistant responsibilities
  • Participation in training and company meetings as appropriate to support individual and organizational growth
  • Contributes to team and client relationship development through effective communication and collaboration
  • Active participation and execution of Quiring’s Safety Program to maintain a healthy and injury-free work environmen
  • Completes other duties as assigned
