The Investment Operations Specialist is an integral member of the investment team, reporting to the portfolio manager and interacting regularly with the entire investment team. This role is responsible for providing operational support to a client base of large complex portfolios through data management, reporting, cash flow tracking, and general support of broadly diversified family office portfolios with high allocations to alternative investments. The ideal candidate is a self-starter who demonstrates strong accountability, sound judgment, and a high level of attention to detail. Primary Duties and Responsibilities
  • Establish and monitor investment manager communications and transactions; gather, review, and ensure relevant data is properly reflected in systems.
  • Collaborate with client team to set up new manager positions and investments accurately in systems and maintain consistent and clear communication across internal and external stakeholders.
  • Own the accuracy of portfolio reporting to enhance execution and mitigate risk: interpret manager and custodian reports, keep manager documentation current, partner with other functions (operations, technology) to ensure timely and accurate data, remediate issues, and reconcile discrepancies.
  • Track and reconcile cash flow activity.
  • Perform first review of performance return data for quarterly reporting and work in partnership with investment team on producing and finalizing client reports.
  • Monitor other investment manager requests and coordinate with responsible team members.
  • Play a lead role in onboarding large and complex portfolios to Addepar, particularly those with alternative assets, by ensuring historical performance data is accurately collected, validated, and incorporated into reports, and that all reporting formats align with the needs of both the client and the investment team.
  • Assist in process design with counterparty teams to continuously improve operational efficiency for complex clients.
  • Contribute to ad hoc client-related initiatives and team projects as needed.
Minimum Qualifications
  • Bachelor’s degree
  • 2-5 years of substantive investment operations experience
  • Demonstrated critical thinking and sound judgment in evaluating and resolving operational issues.
  • Strong organizational skills with exceptional attention to detail; proactive, self-motivated, and able to produce high-quality work under tight deadlines
  • Proven ability to work effectively and collaboratively within a team.
  • Strong communication skills, both written and verbal.
  • Client-first mindset with excellent client service orientation, flexibility, and follow-through.
  • Strong time management, problem-solving, and research capabilities.
  • Advanced proficiency in Microsoft Office, particularly Excel.
  • High level of technical aptitude with the ability to quickly learn and adopt new technology solutions.
Preferred Qualifications
  • Desirable experience includes investment operations at a family office, endowment, foundation, or investment management firm, with a good understanding of business, legal, and accounting considerations related to alternative investments and capital markets.
  • Proficiency in interpreting and reconciling investment reporting across public, private, and hedge fund strategies (e.g., capital account statements, K‑1s, custodial/administrator reports, fee and NAV calculations, performance metrics)
  • Experience with performance reporting process and systems
